The following is a basic overview of our Management Program and how our system is implemented with the condominiums and homeowner associations that we serve. Each association is governed by their own Master Deed and or By-Law documents. Our management program can be altered to meet these criteria so it is in compliance with the Commonwealth of Kentucky Real Estate Laws.
EMERGENCY AND ROUTINE MAINTENANCE
Each Owner/Resident can reach our company 24 hours a day whether during our normal business hours or utilizing our after hours answering service. We encourage Owners when they have community related problems to call us. In case of emergency, the resident may contact the Management Company after hours without disturbing a Board Member and will always be assisted by a live person.
EXISTING CONTRACTS
Kentucky Realty Corporation will continue to manage the association using any and all contracts. We will personally review all contracts to determine how expenses can be reduced in a cost effective manner, while maintaining a high quality of workmanship. Upon completion of the review, we will recommend to the Board of Directors any changes we think would be beneficial to the association.
INSPECTIONS
Kentucky Realty Corporation will make inspections of the grounds and common areas noting items needing attention and/or repair. These items would be assigned to proper personnel for correction.
BOARD MEETINGS
Providing no conflict of schedule, we will attend monthly board meetings and the annual meeting.
BUDGET
Kentucky Realty Corporation will assist the financial committee and/or the Board in the preparation of the association’s annual budget.
INSURANCE
Rapp & Associates and Kentucky Realty Corporation are fully insured and bonded. Our insurance agent, The Sterling Thompson Insurance Company will provide a certificate of insurance for your records. We are currently bonded for $300,000 per occurrence.
MAINTENANCE:
Rapp & Associates, Inc. under the auspices of Kentucky Realty Corporation handles all on-site maintenance problems. Our employees are qualified to fix and repair all of your basic building concerns. We have our own service trucks, tools and equipment to repair your normal building needs. We employ carpenters, painters, plumbers, electricians, a lawn service, a janitorial service, and a snow removal service. We offer a complete line of carpeting and window treatments. All major projects (such as a new roof) are put out for bid by licensed contractors with prior approval from the Board. Our office writes the specifications so each contractor will submit bids of equal quality. Our staff is equipped with mobile communications and our office serves as the base station. Rapp & Associates, Inc. will help provide total maintenance to your building, along with any other contractor or employee that may be working for your complex. We will be happy to perform scheduled maintenance or emergency maintenance as the need arises. Rates for lawn, janitorial, snow removal are quoted after we have been shown the areas.
BOOKKEEPING
Our office gives each owner the option of having their monthly maintenance fee payments automatically deducted from their checking account. Regular assessments can be paid by check with a coupon book provided if the Owner does not sign up for automatic payments. The funds are then deposited into an account established for the association. Our bookkeepers collect the assessments and bills are paid from the operating account. A monthly statement is issued to the Board of Directors with a Master Copy given to the Treasurer which contains copies of all invoices paid, copies of bank deposits, checks written during the month and a reconciled bank statement that corresponds to the financial statement given to each owner.
As a management company for condominium and homeowner associations, we are aware of the responsibility of managing the community, buildings, grounds and staff. Our service makes the work of each Board member a pleasant experience. Many associations, without proper management, realize it’s more and more difficult to find owners willing to accept the role of a Board member because of the time it takes for a non-paid position. Often, they later realize it has become to overwhelming and want to withdraw from the position.
